Before an RBT starts: what to check

You have a case to cover. Before you agree on a start date, you need to know whether the RBT can work the schedule and what your team still needs to get done.

Oala checks BACB certification through Oala Passport. Your team handles its own onboarding and confirms when the RBT can start.

Give us the schedule you need covered

Include the days, times, service area, preferred start date and how long you expect to need coverage.

For example: “Monday through Thursday, 3–6 p.m., starting next month.” Add the service area so we can check whether the travel works, too.

You do not need to send client names, exact addresses or clinical records for this conversation.

Oala checks the BACB record

We check the BACB Certificant Registry and record the result in Oala Passport. Your team can use that result during onboarding.

The check date tells you when the record was reviewed. Your organization may also have screening, training or other requirements to complete before the RBT starts.

The BACB website has the current RBT handbook and certification information.

What your team should confirm

  • Schedule: Confirm the actual days and times with the RBT, including travel between commitments.
  • Onboarding: Finish your required paperwork, screening, orientation, training and system access.
  • Supervision: Your clinical team confirms who will supervise the RBT and what preparation the assignment needs.
  • Other requirements: Your team checks the state, payer and contractual requirements that apply.
  • Start date: Agree on the date with the RBT once your team has completed these steps.

If something is still missing, name the person handling it and when it is due. “Orientation with Jordan on Thursday” is more useful than “onboarding pending.”

When an RBT accepts

An RBT who accepts an opportunity in Oala is saying they want to proceed. Your organization still chooses the RBT and completes onboarding before the assignment starts.

You keep the employment or engagement relationship, clinical supervision, payer relationships, billing and the relationship with the family. Oala helps find RBTs who fit the coverage need and coordinates the remaining steps with your team.
